ClickUp Free Plan Limits (2026): Every Cap and When You'll Hit It

The short answer

You can put your whole team on ClickUp's free plan and never pay. Storage, Custom Fields, automations and the good views are the parts that run out.

Members and guests

There's no user limit. Free Forever has unlimited members, and that's the reason people start there. A team of 12 pays nothing.

The catch is that every limit below is shared by the whole Workspace. 60MB split across 12 people is 5MB each, which is about 2 phone photos.

Guests work too, with one trap: on the free plan a guest gets full access to whatever you share. You can't make them view-only. If a client should see a List and not edit it, the free plan can't do that.

Storage: 60MB, and it goes fast

Most small teams hit this one first. The 60MB covers every attachment in the Workspace, including images in Docs and files in comments.

A 1-minute screen recording can take half of it. Once you're full, you can't upload anything else until you delete files or upgrade.

If your team works mostly in text, you'll last months. If anyone sends screenshots or PDFs, you'll hit it in weeks. The workaround is to link files from Google Drive. A link costs no storage. An upload does.

Spaces, Folders and Lists

You get 5 Spaces. Inside each one, up to 100 Folders and 40 Lists.

5 Spaces sounds like plenty until you build one per client. An agency with 6 clients runs out on day one. Use one Space per department and one Folder per client instead. The ClickUp hierarchy guide shows that layout step by step.

Custom Fields: 60 uses, and they don't come back

ClickUp counts a "use" in a way most people don't expect.

Creating a Custom Field is free. Setting a value on a task is a use. Pick a Dropdown option on a task, that's one. Add 2 labels to a Label field, that's two. Link 2 tasks with a Relationship, that's one more.

The count never resets. Once the Workspace hits 60, you can't add a value to any Custom Field again. You can clear old values, but clearing doesn't give the use back.

So 60 uses is roughly 60 tasks with one field filled in. If you plan to track budget, client or priority in a Custom Field, you'll need Unlimited.

Automations: 5 rules and 100 runs a month

You can keep 5 automations switched on at once, and together they can fire 100 times a month.

100 runs goes quicker than it sounds. One rule that assigns a task when its status changes will fire every time anyone moves a card. A team moving 5 tasks a day burns through the month in 3 weeks, and then the rules stop until the 1st.

The trial features

ClickUp lists several features as "Trial" on Free Forever: Gantt, Timeline, Workload, Map, Mind Map, Dashboards, Goals, Time Tracking and Timesheets.

A trial here isn't 14 days. It's a small number of uses, and like Custom Fields, the count doesn't reset. You get enough uses to try Gantt on one project, then it's gone.

Storage or Custom Fields: the first cap you'll hit

Storage goes first for any team that shares screenshots or files. Custom Fields go first for any team that tracks more than a status. Automations come third. Spaces only matter if you set them up one per client, and that's a setup problem you can fix without paying.

When you do upgrade, Unlimited is $7 per user a month billed yearly, or $10 billed monthly, and it removes the storage, Space and Custom Field caps together.
