What you are buying
You get 2 bills
The plan is one price and the AI is another. Brain AI costs $9 per member per month and Everything AI costs $28, both on top of the $7 or $12 you already pay for the plan. So a Business workspace on Everything AI costs $40 per person per month.
AI bills every member, or nobody
Both add-ons price per Workspace member. Buy Brain for the 3 people who will use it and ClickUp still charges for all 25. Your headcount moves the final number more than your feature list does.
Free Forever cannot buy AI
ClickUp sells both add-ons on paid plans. On Free Forever the real price of Brain is the plan plus the add-on. The standalone AI Notetaker is the one exception, and it works on any plan.
Annual billing keeps the add-on for 12 months
ClickUp's terms want 30 days' notice before your renewal date to downgrade, to cut your user count, or to drop an add-on. Past that date the add-on renews for another 12 months. Try Everything AI on monthly billing first.
What it costs to run
Talking to Brain costs 0 credits
Brain chat, writing, summaries, project updates, web research and Workspace search run unlimited under fair use. The automatic features carry a meter: AI Fields, AI Assign, AI Prioritize, AI cards, image generation and every Agent run spend AI Super Credits.
Everything AI switches most of that meter off
Brain meters all of those against 1,500 credits per member per month. Everything AI gives AI Fields, Assign, Prioritize, cards and image generation unlimited fair use, and meters Super Agents alone against 5,000 credits per member. That is the real gap between $9 and $28, and the credit counts hide it.
A credit costs $0.001
Credits sell in $10 blocks, so $10 buys 10,000 of them. The allowance counts per member and pools across the Workspace, so 25 people on Brain share 37,500 credits a month. It renews monthly and the leftovers go.
Running out stops the premium features
Admins see a banner at 80%, 90% and 100% of the allowance. Just past 100% the premium features wait for the next renewal. Overage protection keeps them running, and it upgrades your credit pack at that renewal.
The catches
The trial never refills
Free Forever gets 25 Brain uses in a Workspace of up to 10 people, and 50 in a bigger one, plus 500 credits for the whole Workspace. A paid plan with no add-on gets 50 to 175 uses and 1,000 credits per user. Both stop for good once they are spent, so spend them on the features you are weighing.
Fair use is ClickUp's call
ClickUp's AI terms set fair usage at its sole discretion. Go past what it decides is fair and it can ask you to buy more usage rights, or disable or degrade the AI. The same terms let it add, remove or limit the model providers at any time, and they cap its total AI liability at $100.
The Notetaker and Talk to Text price on their own
Every workspace gets 5 free hours of AI Notetaker per admin, shared and spent once. After that it arrives with Everything AI, or as a standalone add-on on any plan including Free. Shared and Workspace notetakers and custom bot names need Business Plus or Enterprise. Talk to Text runs to 25,000 words on Brain and unlimited on Everything AI. ClickUp publishes no price for either standalone add-on, so ask at checkout.

How much does ClickUp cost per user?
Free Forever is $0. Unlimited is $7 per user per month billed yearly, or $10 monthly. Business is $12 yearly or $19 monthly. Enterprise is quoted by sales and ClickUp publishes no figure. AI is separate: $9 or $28 per member per month on top.
Which ClickUp plan do I actually need?
A small number of gates decides it. Chat with history, time tracking or guests on a leash put you on Unlimited. Dashboards, timesheets, workload, proofing or screen recording put you on Business. SAML, SCIM, an audit log or HIPAA put you on Enterprise. Everything else runs on Free.
Is ClickUp AI worth it?
It turns on whether you want AI that writes or AI that acts. For drafts and summaries, an assistant you already pay for writes the same output, so Brain at $9 buys it twice. For AI reading your tasks and docs, filling fields, triaging and running workflows, Brain reaches where a chat window cannot. At volume the arithmetic flips again: Brain meters every automatic action against 1,500 credits a member, and Everything AI at $28 gives those actions unlimited fair use and meters Super Agents alone.
Is ClickUp cheaper than Slack, Notion and Toggl together?
In most cases, because one $12 seat covers chat, docs, time tracking and reporting that would otherwise run to 3 or 4 subscriptions. The saving arrives on the day you cancel the others. Teams that add ClickUp and keep the rest pay more.
Is ClickUp cheaper than Monday.com?
At the entry tier yes: ClickUp Unlimited is $7 against monday Basic at $9. One tier up they meet, at $12 for ClickUp Business and monday Standard, and monday holds time tracking back to Pro at $19. The seat rules widen the gap: monday sells in buckets of 5 with a floor of 3 and rounds up, so a team of 6 pays for 10, where ClickUp bills the headcount. monday also ships no native chat, no native proofing and no native screen recording.
Is ClickUp cheaper than Asana?
Yes. Asana Starter is $10.99 a seat against ClickUp Unlimited at $7, and Asana Advanced is $24.99 against ClickUp Business at $12. Asana sells in fixed seat increments too, so a team of 6 buys 10. Scope is the bigger difference: Asana ships no docs product, no whiteboard, no screen recording, and its timesheets are a $5.99 per seat add-on.
Should I use ClickUp or Notion?
They answer different questions. Notion is the better writing surface, and it ships no native time tracking, timesheets, whiteboards, workload view, proofing or chat. ClickUp is the better operations surface, and its docs are adequate where Notion's are excellent. Price splits them by a dollar: Notion folds AI into its Business seat at $20, and ClickUp Business at $12 plus the $9 Brain add-on comes to $21. The feature set decides this one.
Is ClickUp better value than Trello or Airtable?
Trello is cheaper per seat and does far less: no forms, no time tracking, no docs, no chat. Atlassian's HIPAA list covers Jira, Confluence and Jira Service Management, and leaves Trello off it. Airtable costs more than ClickUp at every tier, $20 a seat against $7, and ships no native docs, chat, time tracking or workload view. Buy either one for the single thing it does well.
Does ClickUp bill in euros?
ClickUp prices in US dollars. A European team pays the dollar price converted by its card issuer, so the euro cost moves with the exchange rate and may carry a foreign transaction fee.
Can I downgrade ClickUp later?
On monthly billing, yes, at the end of the cycle. On annual billing you must give 30 days' notice before your renewal date to downgrade, reduce your user count or drop an add-on. Miss it and the contract renews for another 12 months.
Does ClickUp give a refund?
ClickUp offers a 30-day satisfaction guarantee on a first purchase and on an upgrade. It covers those 2 cases only. Renewals, expansions of something you already bought, anything bought through a sales rep or reseller, and any purchase that followed a pilot or trial all fall outside it.
