We turned their ClickUp into a delivery machine

Where ClickUp stops helping your team.

Every workspace we audit has tried three things: a fresh template, a new admin, a paid ClickUp coach. The mess always comes back. The setup is not the root cause. Your operating model is. That distinction is why the workspaces we rebuild are still the ones the team uses a year later.

Onboarding breaks everything
New hires can't figure out the workspace. They create their own lists, their own views, their own chaos.
You've outgrown your own setup
What worked at 10 people falls apart at 40. New lists won't fix it. The structure itself has to change.

ClickUp becomes how the work gets done.

A working operational system, not just a ClickUp configuration.

  1. Workspace architecture

    01

Your team stops building shadow lists and rogue views. The structure finally matches how you work.

  2. Dashboards and views

    02

Role-specific views for leadership, PMs, and team leads. Everyone sees what matters to them.

  3. Project templates

    03

Repeatable project structures so every new client or campaign starts the same way.

  4. Automations

    04

Status updates, notifications, and handoffs that run without anyone touching them.

  5. SOPs

    05

New hires find the process before they ask you. SOPs live where the task lives, not in a separate doc nobody opens.

  6. Team training

    06

Live sessions for each role, plus a recorded library so new hires onboard themselves.

Running in six to eight weeks.

From audit to handoff.

  1. We talk to your team, not just leadership. Then we audit tools, workflows, and pain points. You get a clear picture of what's broken and what it's costing you.

  2. We design the target system: workspace structure, views, automations map, and team responsibilities. You approve the blueprint before we build anything.

  3. We configure your workspace, build the automations, set up dashboards, and migrate your data. Weekly check-ins so you see progress and can course-correct early.

  4. Role-specific training sessions. Recorded video library. Quick-reference guides. We run the system in parallel for two weeks, then hand over full control with 30 days of support.

What runs without you.

Everyone works in the same place
Role based views and project templates, so a new hire follows the same structure on day one.
You stop asking for status
Progress, blockers and project health land on a dashboard. No one pings PMs on Friday.
Onboarding is done before your first call
A signed contract creates the project, the task plan and the kickoff checklist.

Who this works for. Who it doesn't.

Good fit

  • Teams of 10 to 50, mostly agencies, with delivery complexity already showing up.
  • ClickUp already in use, but inconsistently across the team.
  • A founder, COO, or ops lead who can sign off on process changes.

Not a fit

  • Solo operators and teams under 10. Templates will get you further at that stage.
  • Buyers looking for a one-page template, not a rebuild.
  • Anyone who needs the tool choice made for them. We start after ClickUp is decided.

Client testimonials

I'm Melanie, founder of BrainWaves Consulting, a grant strategy and writing business for bio/med tech companies. I found UpSys through Ramzi's terrific YouTube channel when I was looking for help turning ClickUp into a real OS for my business. Before working with UpSys, I had the pieces of a system, but they mostly existed in my mind. Nothing was organized in a way that made client delivery feel clear, repeatable, or easy to manage. I was juggling a lot across projects, deadlines, client communications, and internal tasks. I knew ClickUp could support the way I work, but I did not have the time or deep expertise to build it properly myself and have it done right the first time. Working with Anja and Ramzi at UpSys helped me translate the workflow that lived in my mind into a ClickUp space that is structured and intuitive. More than a well-designed, functional space, I also have a strong scaffold to build out company workflows as we continue to scale. The team went above and beyond with the project, from setting up automations to creating SOPs and walk-through videos; it really felt like white-glove service. I've already saved hours on getting new hires up to speed because the onboarding/training materials are all in place. The grant writing process is also much clearer for my clients. They can see what is needed, what is missing, and what comes next, which has saved me time by reducing back-and-forth emails and helping prevent missing items from slowing down the process. UpSys did a great job translating the way my business actually works into a ClickUp system I can use every day. Anja was a joy to work with and was always ready to answer questions and make any tweaks to the setup. I would absolutely recommend them to any service-based business owner who wants more clarity, organization, and ease in their operations!

We hired UpSys to migrate our entire workflow from monday.com to ClickUp, including recreating about 250 complex Make automations. Ramzi was brilliant, delivering fast, high-quality work with absolutely zero disruption to our business. I would definitely work with them again and highly recommend UpSys for projects of any size.

I took time to step back before writing this to fully assess both the solution and how it was implemented. Today, I can say I'm very satisfied. The solution clearly meets our needs. It removed several bottlenecks for our teams. ClickUp is now part of our daily routines. Adoption is strong. Collaboration is clearer and more effective. Recent hires with strong industry experience have integrated quickly, which helped us move faster. The solution continues to improve. Updates are frequent. A good example is time tracking: initially limited, it has matured significantly since the start of the year. We're now seriously considering using it day to day.

We were looking for a powerful tool to plan our teams and monitor our activity that was user-friendly, dynamic, and easy to use. Our objective and the challenge we faced was to get our staff to adopt a new business management method in which they would become active participants, not only in managing their daily workload, but also as advisors to other team members. This was made possible thanks to ClickUp, with support from the UpSys teams during implementation. We exceeded our objectives thanks to Ramzi and his experience. Today, the team saves more than 6 hours per week on planning and 1 hour per person per week on activity monitoring, or 72 hours per month, without even counting the energy redirected toward lead acquisition. A great success story for the company in 2025, so much so that we've decided to extend the partnership until 2026. Thank you to Ramzi and the entire team.

UpSys helped us improve our system and actually make the transition to ClickUp, which we had been trying to do for a long time. They delivered what we were looking for, were flexible and supportive, and fixed a lot of problems and complexities from previous consultants. Overall, we're very happy with the work provided and feel it was good value. We appreciate Ramzi and his help!

The team at UpSys were fantastic to work with. They quickly identified our needs during the discovery call, coordinated with the necessary team members to capture the full scope of the project, and then designed and implemented a project management system tailored to our company. True professionals. We look forward to continuing our partnership with them in the future!

Common questions about hiring a ClickUp consultant.

What if my team doesn't actually use the new system?
Most adoption failures come from systems that don't match how teams work. We design around your actual workflows, not an ideal version of them. Training includes role-specific sessions, not a generic walkthrough. And the 30-day support period exists specifically to catch the spots where the system needs to adjust.
How much does it cost?
A one-hour coaching call is $300. Full workspace rebuilds start at $3,000, scoped to your team size and complexity. The discovery call is free.
How long does it take?
Between two weeks and two months, depending on the complexity of your organization and your team's availability. Most engagements run six to eight weeks.
Which ClickUp plan do I need?
At minimum, the Unlimited plan. It unlocks custom fields and essential features. Choose Business if you need advanced time tracking, workload management, or advanced dashboards. Enterprise only if you need compliance or advanced permissions.
Can I migrate from another tool?
Yes. We handle migration of tasks and fields from your previous project management tool. We have experience with all major platforms and will make sure your historical data is preserved.
Do you provide ongoing support?
Implementation includes two follow-up calls: one at 15 days, one at one month. For ongoing work after that, monthly retainer packages start at $2,500.
Do we have to use ClickUp?
No. Our method applies to any modern project management software. ClickUp is our recommendation due to its flexibility and feature set, but we work with the tools you're comfortable with.
