Executive Summary
Clic Tempo is an admin agency. Its clients outsource their virtual assistants and back-office work to a bench of about 15 freelance assistants, each tracking time against tasks spread over roughly a dozen client lists.
Billing meant totalling those hours by hand, list by list, for one to 2 days at every month end. UpSys made ClickUp the single source of truth and built 3 Make.com scenarios on top of it. The Challenge
Clic Tempo runs on freelancers, with no salaried staff to absorb the back office. 2 problems grew with the agency.
Billing was manual. At month end, someone totalled each freelancer's hours per client by hand, list by list, then turned those totals into invoices. It took one to 2 days and was easy to get wrong.
Quota control was reactive. Each client buys a monthly hour forfait, and an overrun only became visible once the month closed and the budget was already spent.
An earlier alert attempt made it worse. It messaged freelancers numbers like 1243 percent of quota from miscounted data, which cost the system whatever trust it had.
The Solution
ClickUp became the single source of truth for tracked time, and 3 Make.com scenarios read and write it, each with one clear job.
Weekly time aggregation. A scheduled scenario reads team-wide time entries and writes each freelancer's billable hours onto a per-client tracking task, correcting the silent undercounts and misattribution that had thrown the earlier numbers off.
Automated quota alerts. Right after the aggregation runs, each freelancer gets a direct message when they are over or under their monthly forfait, and the director gets one recap covering every client. Drift is caught inside the week.
End-of-month billing. A monthly scenario reads the same verified hours and generates an invoice task per freelancer and client, with the hours to bill and the due date already filled in.
Each scenario was validated against ClickUp's own time-entry data, so the written totals reconcile exactly with what freelancers actually tracked.
The Results
Billing prep dropped from one to 2 days a month to a few minutes. Quota drift is caught within the week instead of after the budget is spent. Aggregated hours reconcile exactly with ClickUp time entries across all 15 freelancers, verified against the API.
