Executive Summary

Bespokely runs e-commerce for several departments at once, from orders and production through to creative and marketing. All of it lived in monday.com, on top of an automation stack that had grown past the point where anyone could trace a failure back to its cause.

UpSys migrated the operation into ClickUp and rebuilt about 250 Make scenarios so each one does a single job. Order tracking went from 3 hours a day to 20 minutes. The whole migration ran with no interruption to the business.

The Challenge

Growth pulled the work apart. Requests arrived in one tool, production ran in another, and anyone who wanted to know where a job stood assembled the answer by hand from both.

The Solution

One ClickUp workspace now holds every department, and every Make scenario was rebuilt around a single job so a broken run points at one place.

  • Intake and routing. Requests land in one place and get assigned by rule instead of by conversation.

  • Named workflow stages. Every department moves work through the same stages, so a handoff needs no explanation.

  • 250 automations, rebuilt one job at a time. Each scenario does one thing, which makes a failure traceable and a change safe.

  • Dashboards for both sides. Leadership reads load and progress live, and clients follow their own jobs without asking anyone.

The Results

Every department now works from one ClickUp source of truth. Order and production tracking costs 20 minutes a day instead of 3 hours. Cross-department and client visibility costs 30 minutes a week instead of 4 hours. Brief handling costs 15 minutes a week instead of 2 hours.

That adds up to about 13 hours a week returned to the people doing the work. The platform change cost the business no downtime at all.
