Executive Summary
Ecobird plans field teams and tracks their activity in ClickUp. The setup was already in place, and it broke a little more with every status change: due dates vanished, estimated durations reset, and custom fields stopped matching between a task and its subtasks.
UpSys went into the automation logic, fixed the inheritance rules and resolved the conflicts between methods. The team now saves more than 6 hours a week on planning and an hour per person per week on activity monitoring, which comes to 72 hours a month. The partnership was extended into 2026.
The Challenge
The team was told how the system was supposed to behave, over and over, while it kept behaving otherwise. Every status change meant somebody went back in and repaired dates by hand.
Template assignment was unreliable, and due dates, start dates and estimated durations were lost when a project status changed.
Automations failed to pass parent task values down to subtasks, so the data arrived incomplete.
Gantt-based and batch-based automation methods conflicted with each other, and the conflict was invisible until something broke.
Custom fields did not update correctly across subtasks and sub-subtasks, so 2 views of the same job disagreed.
Process documentation was unclear, and previous support had supplied explanations where the team needed corrections.
The Solution
The work was diagnostic before it was constructive: read what the automations actually do, then rebuild the ones fighting each other.
Automation logic, reviewed and corrected. Parent task values now reliably reach subtasks, and the conflict between Gantt and batch methods was resolved rather than worked around.
Template and date management. Template assignment was fixed, and start, due and estimated duration fields hold their values through a status change.
Custom field consistency. Fields update correctly at every task level, and the duplication that caused disagreeing views was removed.
Test tasks and feedback loops. Every change was validated on real test tasks with the team confirming behavior before it shipped.
The Results
All recurring tasks now inherit the right dates and custom fields, so manual corrections dropped by over 80 percent. Simpler workflows and clear documentation replaced the guesswork about which automation would fire.
Planning saves the team more than 6 hours a week, and activity monitoring saves an hour per person per week, for 72 hours a month in total. Ecobird extended the partnership into 2026.
