We found what their delivery was leaking

FinfireBrandtegicEcobirdTony HowellDesign at WorkBespokely

The leaks an operations audit always finds.

Work lives in six tools
Projects in one tool, briefs in another, client comms in a third. Reporting means copy-pasting between all of them, every single week.
Critical processes run by hand
Onboarding, status reports, invoicing follow-ups. Repetitive work that machines should do, done by your most expensive people.
Everything routes through the founder
Approvals, escalations, 'quick questions'. Step away for a week and delivery slips. That's not a team problem, it's a system problem.
AI experiments going nowhere
A few ChatGPT subscriptions, maybe a pilot that died in a demo. No owner, no roadmap, no agent actually running inside your workflow.

Every place the money leaks out.

The whole operation, not just one tool.

  • Workflows and delivery

    • Intake to delivery, step by step
    • Handoffs, bottlenecks, and rework loops
    • Capacity planning and workload balance
    • Where hours actually go, per role
  • Tool stack

    • Project management structure and health
    • Overlapping tools and subscription waste
    • Data silos between tools
    • Single source of truth check
  • Automations

    • Inventory of existing automations
    • Broken or redundant rules
    • Integration health check
    • Highest-value missing automations
  • AI readiness

    • Processes documented enough for an agent
    • Data access and quality
    • Current AI usage across the team
    • Guardrails, access, and client data safety
  • Agent opportunities

    • Repetitive judgment work: reporting, briefs, triage, QA
    • Time cost analysis per candidate task
    • ROI estimate per agent candidate
    • Build order: what to automate first
  • Team adoption

    • Who uses what, and who works around it
    • Training and documentation gaps
    • Ownership of each process
    • Friction points your team already knows

Findings you can act on Monday.

Findings from recent agency audits. Every operation has blind spots.

  • Critical

Client reporting assembled by hand from six tools, nine hours every week

A senior account manager spends a full day a week on copy-paste. An agent could draft every report from live data.

  • High

Client onboarding has 14 manual steps, five owned by the founder

Every new client costs the founder half a day. Onboarding speed depends on one calendar.

  • Medium

Two paid tools doing the same job since 2024

Duplicate data entry, conflicting numbers in front of clients, and a subscription nobody questioned.

  • Low

    Meeting notes never become tasks

Decisions made on calls vanish. The same topics resurface three weeks later, unresolved.

A score, the severity, and the order to fix.

  1. Operations scorecard

    01

A quantified assessment across six dimensions: workflows, tool stack, automations, AI readiness, agent opportunities, and adoption. You see exactly where you stand.

  2. Findings with severity ratings

    02

Every issue categorized as critical, high, medium, or low, with the weekly hour cost attached. No guessing what to fix first.

  3. Prioritized roadmap

    03

A sequenced plan: what to fix this week, this month, this quarter. Each item tagged with the right fix: restructure, automate, or hand to an agent.

  4. 90-minute walkthrough call

    04

We present the findings to your team, answer questions, and help you decide next steps. Recorded so you can share it internally.

Who this works for. Who it doesn't.

Good fit

  • You know the hours are leaking and you cannot point at where.
  • Several tools, several owners, and no single map of the work.
  • You want a written diagnosis before you commit to a build.

Not a fit

  • You already know what to fix and just need hands.
  • Teams under 10. Two weeks of audit costs more than the fix.
  • Anyone who wants the report to confirm a decision already made.

Client testimonials

I'm Melanie, founder of BrainWaves Consulting, a grant strategy and writing business for bio/med tech companies. I found UpSys through Ramzi's terrific YouTube channel when I was looking for help turning ClickUp into a real OS for my business. Before working with UpSys, I had the pieces of a system, but they mostly existed in my mind. Nothing was organized in a way that made client delivery feel clear, repeatable, or easy to manage. I was juggling a lot across projects, deadlines, client communications, and internal tasks. I knew ClickUp could support the way I work, but I did not have the time or deep expertise to build it properly myself and have it done right the first time. Working with Anja and Ramzi at UpSys helped me translate the workflow that lived in my mind into a ClickUp space that is structured and intuitive. More than a well-designed, functional space, I also have a strong scaffold to build out company workflows as we continue to scale. The team went above and beyond with the project, from setting up automations to creating SOPs and walk-through videos; it really felt like white-glove service. I've already saved hours on getting new hires up to speed because the onboarding/training materials are all in place. The grant writing process is also much clearer for my clients. They can see what is needed, what is missing, and what comes next, which has saved me time by reducing back-and-forth emails and helping prevent missing items from slowing down the process. UpSys did a great job translating the way my business actually works into a ClickUp system I can use every day. Anja was a joy to work with and was always ready to answer questions and make any tweaks to the setup. I would absolutely recommend them to any service-based business owner who wants more clarity, organization, and ease in their operations!

We hired UpSys to migrate our entire workflow from monday.com to ClickUp, including recreating about 250 complex Make automations. Ramzi was brilliant, delivering fast, high-quality work with absolutely zero disruption to our business. I would definitely work with them again and highly recommend UpSys for projects of any size.

I took time to step back before writing this to fully assess both the solution and how it was implemented. Today, I can say I'm very satisfied. The solution clearly meets our needs. It removed several bottlenecks for our teams. ClickUp is now part of our daily routines. Adoption is strong. Collaboration is clearer and more effective. Recent hires with strong industry experience have integrated quickly, which helped us move faster. The solution continues to improve. Updates are frequent. A good example is time tracking: initially limited, it has matured significantly since the start of the year. We're now seriously considering using it day to day.

We were looking for a powerful tool to plan our teams and monitor our activity that was user-friendly, dynamic, and easy to use. Our objective and the challenge we faced was to get our staff to adopt a new business management method in which they would become active participants, not only in managing their daily workload, but also as advisors to other team members. This was made possible thanks to ClickUp, with support from the UpSys teams during implementation. We exceeded our objectives thanks to Ramzi and his experience. Today, the team saves more than 6 hours per week on planning and 1 hour per person per week on activity monitoring, or 72 hours per month, without even counting the energy redirected toward lead acquisition. A great success story for the company in 2025, so much so that we've decided to extend the partnership until 2026. Thank you to Ramzi and the entire team.

UpSys helped us improve our system and actually make the transition to ClickUp, which we had been trying to do for a long time. They delivered what we were looking for, were flexible and supportive, and fixed a lot of problems and complexities from previous consultants. Overall, we're very happy with the work provided and feel it was good value. We appreciate Ramzi and his help!

The team at UpSys were fantastic to work with. They quickly identified our needs during the discovery call, coordinated with the necessary team members to capture the full scope of the project, and then designed and implemented a project management system tailored to our company. True professionals. We look forward to continuing our partnership with them in the future!

Questions about the audit

How long does the audit take?
Two weeks from the day we get access. The kickoff call happens on day one. You receive the report and walkthrough on day 14.
What access do you need?
Read access to your project management tool, your automation platform, and any tool central to delivery. We sign an NDA before you grant access and you revoke it after the audit.
Will the audit disrupt my team?
No. We work in the background. We may ask to interview 2-3 key people for 15 minutes each, and to watch one or two workflows happen live.
How is this different from the ClickUp audit?
The ClickUp audit goes deep on one tool: your workspace structure, views, fields, and automations inside ClickUp. This audit covers the whole operation: workflows across tools, automation coverage, and where AI agents would pay for themselves.
What if we don't use ClickUp?
The audit is tool-agnostic. We audit agencies on Asana, Monday, Notion, and ClickUp. The recommendations adapt to your stack, though we'll tell you honestly if your stack is part of the problem.
Do you only recommend AI where it makes sense?
Yes. An agent needs a documented process and clean data to work. Where those are missing, the roadmap says so, and sequences the groundwork first. We'd rather flag three solid agent candidates than ten flaky ones.
Can you implement the recommendations too?
Yes. The report becomes the blueprint for a build engagement or an ongoing AI partnership. But there's no obligation: you can implement it yourself or with your internal team.
