What a ClickUp integrator connects

A consultant tells you what shape ClickUp should take. An integrator makes it talk to everything else you pay for.

01

Your history moves off the tool you leave

Monday, Asana, Notion, Trello or a folder of spreadsheets. Tasks, comments, attachments, owners and dates move across with their history, so nobody keeps the old tool open for a month.

02

Every tool writes into ClickUp

HubSpot or Pipedrive on the sales side, Xero or QuickBooks on the invoicing side, Harvest or the native timer on hours, Slack and Gmail on the talking. Each one writes into ClickUp instead of beside it.

03

Automations carry what the native rules cannot

Make.com and n8n carry what the native rules cannot: a won deal that opens a project, a signed scope that spawns the task tree, an approved invoice that closes the phase. Every automation ships with the alert that wakes a human when it fails.

04

The numbers assemble themselves

Hours against budget, margin per client, capacity for next month. Built once as dashboards and a Sheets export, so the numbers are read, not assembled.

From stack map to live integration in 3 to 6 weeks

  1. We list every tool the work passes through, where each one holds the truth, and where a person is currently the integration. You get the map and the order to connect in.

  2. We decide which system owns each field, what moves in which direction, and what happens when a call fails. You approve the design before anything is wired.

  3. Automations built and tested against real records, then the migration run on a copy before it runs on your workspace. You watch a dry run before the switch.

  4. Your team learns what each connection does and how to read the alert when one stops. Documentation, the integration map, and 30 days of post-launch support.

What runs without you.

One place the work is true
Status, hours and money agree, because each one is written by the system that owns it and nothing is retyped.
The handoffs stop needing a chaser
Sales to delivery, delivery to invoicing, invoicing to close. Each one fires on the event, not on a reminder.
Every integration has an owner
A one-page map of what connects to what, who we alert when it breaks, and 30 days of Slack support after handoff.

Client testimonials

I'm Melanie, founder of BrainWaves Consulting, a grant strategy and writing business for bio/med tech companies. I found UpSys through Ramzi's terrific YouTube channel when I was looking for help turning ClickUp into a real OS for my business. Before working with UpSys, I had the pieces of a system, but they mostly existed in my mind. Nothing was organized in a way that made client delivery feel clear, repeatable, or easy to manage. I was juggling a lot across projects, deadlines, client communications, and internal tasks. I knew ClickUp could support the way I work, but I did not have the time or deep expertise to build it properly myself and have it done right the first time. Working with Anja and Ramzi at UpSys helped me translate the workflow that lived in my mind into a ClickUp space that is structured and intuitive. More than a well-designed, functional space, I also have a strong scaffold to build out company workflows as we continue to scale. The team went above and beyond with the project, from setting up automations to creating SOPs and walk-through videos; it really felt like white-glove service. I've already saved hours on getting new hires up to speed because the onboarding/training materials are all in place. The grant writing process is also much clearer for my clients. They can see what is needed, what is missing, and what comes next, which has saved me time by reducing back-and-forth emails and helping prevent missing items from slowing down the process. UpSys did a great job translating the way my business actually works into a ClickUp system I can use every day. Anja was a joy to work with and was always ready to answer questions and make any tweaks to the setup. I would absolutely recommend them to any service-based business owner who wants more clarity, organization, and ease in their operations!

We hired UpSys to migrate our entire workflow from monday.com to ClickUp, including recreating about 250 complex Make automations. Ramzi was brilliant, delivering fast, high-quality work with absolutely zero disruption to our business. I would definitely work with them again and highly recommend UpSys for projects of any size.

I took time to step back before writing this to fully assess both the solution and how it was implemented. Today, I can say I'm very satisfied. The solution clearly meets our needs. It removed several bottlenecks for our teams. ClickUp is now part of our daily routines. Adoption is strong. Collaboration is clearer and more effective. Recent hires with strong industry experience have integrated quickly, which helped us move faster. The solution continues to improve. Updates are frequent. A good example is time tracking: initially limited, it has matured significantly since the start of the year. We're now seriously considering using it day to day.

We were looking for a powerful tool to plan our teams and monitor our activity that was user-friendly, dynamic, and easy to use. Our objective and the challenge we faced was to get our staff to adopt a new business management method in which they would become active participants, not only in managing their daily workload, but also as advisors to other team members. This was made possible thanks to ClickUp, with support from the UpSys teams during implementation. We exceeded our objectives thanks to Ramzi and his experience. Today, the team saves more than 6 hours per week on planning and 1 hour per person per week on activity monitoring, or 72 hours per month, without even counting the energy redirected toward lead acquisition. A great success story for the company in 2025, so much so that we've decided to extend the partnership until 2026. Thank you to Ramzi and the entire team.

UpSys helped us improve our system and actually make the transition to ClickUp, which we had been trying to do for a long time. They delivered what we were looking for, were flexible and supportive, and fixed a lot of problems and complexities from previous consultants. Overall, we're very happy with the work provided and feel it was good value. We appreciate Ramzi and his help!

The team at UpSys were fantastic to work with. They quickly identified our needs during the discovery call, coordinated with the necessary team members to capture the full scope of the project, and then designed and implemented a project management system tailored to our company. True professionals. We look forward to continuing our partnership with them in the future!

Common questions

What is the difference between a ClickUp integrator and a ClickUp consultant?
A consultant decides what shape the workspace takes: spaces, statuses, fields, who sees what. An integrator makes that workspace exchange data with the rest of your stack: the CRM, the accounting tool, the time tracker, the mailbox. Most agencies need both, and we do both, but the integration work is what stops your team retyping the same record in 3 places.
Can you migrate us from Monday, Asana or Notion without losing history?
Yes. Tasks, subtasks, comments, attachments, assignees and dates move across. What does not survive a migration cleanly is anything the source tool models and ClickUp does not, mirrored columns being the usual one. We name those before the migration and agree where they land. They never turn up as a surprise afterwards.
Do you build in Make.com, n8n or ClickUp's own automations?
Native first, because a native rule has no monthly cost and nothing to monitor. Make.com or n8n takes over when the logic needs branching, a lookup, or a tool ClickUp has no integration for. We have shipped 200+ automations and the choice is made per automation, not per client.
What does an integration project cost?
A focused integration, one migration or 3 connections with their automations, runs $4,000 to $9,000. A full build with the workspace architecture, the stack, the dashboards and the training is $15,000 to $35,000 depending on team size and how many systems are in play.
What happens when an integration breaks?
Every automation we ship carries an error path and an alert, so a failure reaches a person rather than sitting silent until someone notices a missing invoice. After handoff you get 30 days of Slack support, and an optional monthly retainer where we hold the alerts ourselves.
Can you work with the workspace we already have?
Usually yes. About half of our engagements start with a workspace a team has already built habits around. We audit what works, keep it, and replace only what blocks the integration. A rebuild is proposed when the structure itself is what makes the data unreliable, and we say so before you commit.
